Configure Timesheets in Odoo 16
Configure Timesheets in Odoo 16 to help employees and managers track the amount of time spent on various tasks and projects. This accurate tracking provides insights into how time is being allocated and whether it aligns with organizational goals. By recording hours spent on different activities, organizations can make informed decisions about resource allocation. This includes assigning tasks to the right individuals, redistributing workloads when necessary, and prioritizing projects effectively. Timesheets are crucial for calculating labor costs accurately. By knowing how much time is spent on a project or task, organizations can calculate labor expenses and budget accordingly. This is especially important for organizations that bill clients by the hour or need to justify project costs to stakeholders. Timesheets can also be used as a basis for performance evaluations. Managers can assess employee productivity and efficiency, identify areas for improvement, and recognize high-performing individuals or teams.
In the ‘Timesheets’ module of Odoo 16, Users can easily track the hours spent for each task or operation by an employee, by time, by project, and so on. In the image above, we can see the options such as ‘Today’, ‘Day’, ‘Week’, and ‘Month’ based on which we can view the total working hours spent on each item created in the Timesheet in a daily, weekly, or monthly manner. We can also use filters and group-by options to access only the required set of data. The view of the page can be changed to List, Kanban, Pivot, and Graph from the top-right options available just below the search bar.
The ‘filter’ option is the Timesheets module allows us to filter out only my projects and tasks from all the items. Other filtering options include filtering Draft, Validated, Billed at a Fixed Price, Billed on Timesheets, Billed on Milestones, Billed manually, filtering based on date, and duration, and can also add custom filters.
The ‘Group By’ option in the Timesheets module allows us to categorize working activities based on Project, Task, Ticket, Date, Sales Order, Sales order item, Invoice, and Billing Type and can also add custom groups.
We can select the ‘Start’ button to record the time taken to complete an operation. On selecting the option, the timer starts and we have to describe the activity, the project, and the task associated with the operation.
After completing the operation, click on the ‘Stop’ button so that the date, time, and duration are recorded for the created operation and added to the list on the Timesheets page.
Creating new Timesheet
Go to the ‘Timesheets’ menu of the Timesheets module where we can find the two options such as ‘My Timesheets’ and ‘All Timesheets’. In the ‘My Timesheets’ option, we can create timesheets for ourselves and track the time taken to complete our assigned tasks. This is because the option only displays the operations created in my login ID. The ‘All Timesheets’ option displays all the operations created in the system which may include the operations of other departments, projects, managers, subordinates, and so on. The option provides details of all the operations completed in the organization.
Let’s select the ‘My Timesheets’ option. We can change the view of the page from ‘Grid view’ to ‘List view’ so that the ‘New’ option is visible. Select the ‘New’ button to create a new Timesheet.
We can enter details such as Project name, Task, Description, and Hours spent on the new operation. If I change the view to Graph, I can change the measures of the activity from Hours spent to Timesheet costs and Count.
Odoo’s Timesheets app also has an amazing Reporting feature that enables users to analyze timesheets based on employees, projects, tasks, and billing types.
